Ozark Avalon Board Meeting

Meeting was called to order at 8:25 pm


A copy of the Full Order of Protection – Missouri Circuit Court 22nd Judicial Circuit – Attachment A was given to all Board Members present.


A copy of the Ozark Avalon Revenue Statement for year 2003 was handed out.


A copy of the Balance Sheet for Ozark Avalon was handed out.


The Revenue Statement for year 2003 was reviewed.


The Emergency Housing policy was opened for discussion and options were considered. “Room and Board Policy” was suggested as the name for the updated policy. Currently living at the retreat center are Jason, Bree, Sparrow, Becka and Lisa D.


Emergency housing may only be provided at the agreement of the Board by a positive vote of a minimum of four Board Members.


The first two weeks will be at no charge but will still require work hours. This is considered to be an emergency only grace period and one Board Member must be contacted within 24 hours of arrival.


Up to 1 and ½ months additional residence may be allowed with Board approval and will be at the rate of either $35/week and 10 hours of work/week paid at the beginning of each week or $100/month and 10 hours of work/week if prepaid.


The 10 hours a week of work will be done on an honor system and must be recorded. Expectations of behavior and responsibilities will be listed.


No pets will be allowed at the retreat center unless prior arrangements are made and approved.


If residence coincides with a Festival, the person seeking emergency housing will either be responsible for paying to attend the Festival or must make other arrangements for the weekend. Work credit may be arranged in rare cases through Grant’s program.

A pricing sheet and the new policy will be posted.


Lisa Turner moved that we vote the new Room and Board Policy to be final and effective on August 1, 2004. Tom Chapin seconded the motion. All in favor were Rose Wise, Pam Ernst, Grant Davis, Tom Chapin, and Lisa Turner. None opposed. The motion passed.


Flyers for OA – Grant will work on some new ones.


All land payments will be made and the balance on the propane will be paid. There will be ~ $2000 left in the operating budget.


Road graveling to improve the road up to the retreat center -

Need a jobs bid to fix the road.

Lisa T. will call about the gravel – APAC-Holland Quary.

~$100 to $130 per truckload.

At least two truckloads – hopefully done before the Tarot Intensive Weekend.

Need someone to blade the gravel to level it –Rose will contact John Wise.


Lisa Turner moved that we vote to add Jetta Heath to the Board of Ozark Avalon. Tom Chapin seconded the motion. All in favor were Tom Chapin, Pam Ernst, Rose Wise, and Lisa Turner. Grant Davis abstained. None opposed. The motion passed.


Discussion was opened on the topic of No Tolerance for Illegal Substance.

No Tolerance means No Tolerance.

It does not matter who the person is, if found to be using an illegal substance or even just in possession of it, they will be asked to leave the grounds.

Warning will not be given.

Violation of this rule is a violation of the Natural Laws and could be grounds for removal of Oak Sprit Status and possible ban from the land.

The expectation is that if someone cares about OA, they will not take the chance of endangering OA and will be respectful in the choice he/she makes.


Discussion was opened on the topic of an Oak Spirit Seasonal Pass option.

Options considered were a yearly pass for 12 festivals possibly for $600 and/or a Sabbath pass for 8 festivals possibly for $400.

It was clear further exploration would be required to understand the festival demographics before any pricing or decisions can be made.


Other ways to support OA were considered along with Oak Spirit status.

Active Oak Spirits might get discounts.

Inactive Oak Spirits might not get discounts.

If no contact in 3 years, name will be removed from the mailing list.

Harvest Homecoming - $20 or two work weekends/year to update status?

Oak Spirit update f membership once a year at Harvest?


Food at Festivals was opened for discussion.

Possibly look at vendors for food through Grant?

Ways to keep costs in line will be explored.


Fund raising was opened for discussion.

OA on the road Festivals.

Weddings.

OA extra Festivals/ possibly run by outside groups with Board approval.

Land Rentals.

Commisions/ Festival Sales.

Proposal opened for another group to run the festivals as a third party vendor?

Lisa Turner moved that the meeting be closed. Grant Davis seconded the motion. All in favor were Lisa Turner, Grant Davis, Pam Ernst, Rose Wise, and Tom Chapin. None opposed. The meeting was closed at 10:30 pm.






A work program for credit was mentioned with the idea of bid work discussed. Credit approval would only be given after work was completely done. Grant offered to handle the sign up and approval – with the information to eventually be on the web site.
